Job Description: We are looking for an Administrator Assistant to work part time at Filton Airport, Bristol. This role will be 20 hours a week, days and hours are negotiable. This is also a fixed term contract role until the end of December 2012, as the airport is closing then.
Purpose:
To ensure compliance with the agreement between BAE Systems and the IFM Teams at Filton AAH/Airfield and Weybridge sites for the delivery of the estate maintenance. This is to be achieved in collaboration with all parties concerned, and in a professional and enthusiastic manner.
Principle Accountabilities:
*To receive and action all requests for services in accordance with the site procedures. To answer all calls in a professional, constructive and enthusiastic manner. To record and process all information received.
*To assist in allocation of work to the appropriate engineer/handyman, track progress of all allocated jobs and ensure completion time meets with the priority code allocated to it.
*To check and report to site supervisor, all works outstanding at the end of the week.
*To maintain the Additional Works Register, raising, logging and tracking all additional works from inception through to final invoice.
*To provide assistance and cover during busy periods, holidays or periods of absence.
*Assist in compiling technical, operational and financial reports.
*Maintaining the site office stationary stock and arranging replenishments as required.
*Responsible for the general housekeeping of the office reporting any defects or discrepancies.
*To carry out booking-in arrangements for contractors and day-visitors.
*To process and record all Annual Leave requests and Overtime sheets for site operatives.
*To process and record sickness, absence and Return to Work Interview forms for site operatives
*To obtain quotes from our sub-contractors and to raise and issue purchase orders as directed.
Qualifications and Experience and Personal Specification:
*Will have training and good IT skills in operating various IT systems including MS Office, JDE, MS Project and maintenance databases.
*Will have a good level of interpersonal, relationship, communication and presentation skills.
*Smart and presentable appearance with an impressionable and enthusiastic approach.
Character:
*Must be able to show 5 main scales of service character:- Agreeableness, Stability & Adaptability, Sociability, Emotional Intelligence, Drive & Ambition.
Behaviour & Communication:
*Complete work with pride to the best of ability and to specification every time showing effective workload prioritisation
