Job Description: Assist and support the FM in all aspects of managing the building, including minor handyperson / porterage tasks. Provide support in dealing with enquiries (mainly from internal staff) relating to the administration and running of a large office. Contribute to provision of a high quality service on all aspect of facilities arrangements - including covering a busy reception area. Also co-ordinate the cleaning team to ensure all relevant areas are cleaned to a satisfactory standard.
Principal Accountabilities:
*Assist the FM in all areas of management of the building and facilities.
*Facilitate the smooth running of the building, from answering telephones, dealing with enquiries from staff and visitors regarding building management issues, to minor handy person / porterage tasks.
*Co-ordinate all aspects of the cleaning operation to ensure all relevant areas are routinely cleaned to a satisfactory standard.
*Liaise with the cleaning team leader to ensure all reactive tasks are attended to according to service level agreements (SLA).
*Liaise with the Estates helpdesk to ensure all planned routine and reactive tasks are completed according to the relevant SLA.
*Assist in small desk moves and churn activities, including moving crates and furniture.
*Assist in setting up meeting rooms and altering furniture lay out as required.
*Provide cover for reception and the post room as required.
*Lifting of furniture, equipment and stationery as required.
*Assist with the induction of new staff (e.g. building familiarisation).
*Assist with the issuing of security passes.
*Ensure office equipment is in working order and replace paper and toner cartridges as required.
*Assist with health and safety duties.
*Carry out handy person / porterage tasks (see list below) to include meter reading, fabric maintenance and minor mechanical and electrical tasks such as lamp changing and unblocking of WC facilities.
*Ensure all site logbooks are accurately maintained and up to date.
Handy Person/Porter tasks:
*Minor fabric repairs, such as door / wall / carpet repairs and d�cor touch-ups
*Replacement of damaged ceiling tiles
*Minor repairs to doors, furniture, fixtures
*Minor M&E tasks, e.g. plumbing, light replacements, tea point repairs
*Replacement of batteries in clocks
*Locksmith services / replacement of keys
*Delivery and collection of boxes / crates to support small moves
*Moving of meeting room furniture to accommodate different layouts
*Picture / mirror / notice board / clock hanging
*Shelf / white board hanging
*Hanging of fire extinguishers
*De-scaling of shower heads
*Subcontractors control and awareness
*COSHH management
Qualifications and Experience:
*Proven experience within a similar role
*Good IT skills
*Excellent level of interpersonal and customer relationship skills
*Excellent communication skills
*Ability to sustain effective relationships
*Ability to plan and organise
*Drive and determination
*Valid, full driving licence
*Please note that security clearance is a requirement of the role. Permanent recruitment will be dependant on successful completion of the security process.
