Job Description: Purpose:

To manage the operational facilities management service provision to the property/properties of the client's contract, to ensure the cost effective and timely delivery of contractual obligations and service provisions, ensuring quality standards and H & S requirements are met and all the client's policies are complied with.

Principal Accountabilities:

* Manage the on site FM team, service provision and sub-contracted service providers to the property/properties under your management. Plan, Organise & Monitor Services delivery
* Set FM budgets and manage the recovery process of all costs and profit for those properties under your management. Understand and forecast any variances to budget
* Develop excellent internal and external business relationships to advance working relations and business opportunities. Develop relations with appropriate authorities, sub-contracted service providers and statutory bodies.
* Make sure that all on-site activities within common areas and on common systems are correctly managed and controlled to ensure zero unplanned downtime to either Client or Tenants business operations.
* Act as CDM Co-ordinator and Principle Contractor's agent for any works provided by the client's in the sites under your management.
* Liaise regularly with building owners and Tenants as principal FM for the property/properties under your management.
* Respond to changes in client and occupier requirements as agreed via the appropriate authorisation process.
* Establish 'value for money' strategies for delivering the management services.
* Support Management responsibility for all FM staff and the delivery of services including Welfare and Health & Safety matters in the property/properties under your management. Keep Properties & People Legal & Safe.
* Liaise closely with tenants to establish a consistent and co-ordinated approach to Health and Safety matters throughout the building(s), or site.
* Ensure adequate Core, Job Specific and Development training is provided and maintained for all staff, at a skill level appropriate to their role.

* Fully meet and exceed the client's objectives including cost, operational culture change, sharing best practice initiatives, improved systems/procedure and world class service provision.
* Support direct line management of service delivery teams through; Leadership, Management, Motivation, Performance Appraisement, Counselling, Coaching and Development. React promptly to team issues.
* Provide Clear, Accurate Information and Timely Reporting, Gather data, liaise with suppliers, understand in detail your sites and service provision
* To provide an administrative and basic secretarial support service to the Facilities Management (FM) team
* To answer telephone queries from clients, tenants, contractors, suppliers and the public. Receive and despatch post
* Order stationery, stock control, refreshment orders, preparation of ad hoc reports, scanning of critical back-up documentation, checking and dispatching of bulk invoices. General office duties
* Update and maintain Service Charge Master Spreadsheet.
* Attend to all related queries from internal as well as external clients within the laid-down timelines either by phone or in writing and ensure high level of customer satisfaction.
* Responsible for the 'day-to-day' management of all health and safety matters in the building(s) and persons using, or affected by the use of the building(s) or site.
* Produce an FM budget for the properties and monitor forecast against budget
* Ensure full recovery of costs and produce a profit on all FM services in the property
* Prepare and manage budgets for client instructions as and when required
* Deliver the client's approach on all client contracts to agreed service levels
* Manage and develop relationships internally and externally
* Develop and deliver quality, profitable FM services on all client contracts
* Manage sub-contractors and monitor performance against contracted SLAs and KPIs
* Co-ordinate the production of performance reports and carry out analysis of the results and take appropriate action to ensure continuous improvement is achieved.

Qualifications and Experience:

* Proven Facilities Management at a supporting function
* Multi-site management for a commercial property management company.
* Support Management, leading and developing multi-discipline teams.
* Qualification leading to Professional Body Corporate Member status e.g. BIFM, CIBSE, IET
* Full driving licence
* Have completed NEBOSH training
* Have completed IOSH training
