Job Description:
Customer Liaison
The most critical task listed above is that of Customer Liaison, and will feature in every Project irrespective of the source or control.
The Project Co-coordinator is the focal point for all matters regarding the impact on the customers and their facilities.
All issues that have an impact upon the customer will be routed through the Project Co-coordinator to the Project engineer to the Customer.
The Project Co-coordinator whilst recognizing the importance of the customers and their facilities is responsible for ensuring the complete facilitating of the project activities. This task is a key function and requires a high level of communication skills together with diplomacy and firmness.
Operations Liaison
This task ensures that the Operations Team on the site is kept fully informed and aware of any project activities that are happening within their Site.
It is crucial that both Projects and Operations staff convey the same message to the customer and that the necessary arrangements are made to facilitate the project.
The Project Co-coordinator via the Project Engineer's will arrange for the necessary electrical or mechanical isolations to be made in the area of work, and that the services are reinstated on completion. This process will be achieved by using the Work Request system in place on all sites, the Project plan will identify the need well in advance of the project, although there will be a need for an emergency response where unforeseen circumstances occur. When the area of work requires it the Project Engineer will arrange for the Permits to Work for the participating installers.
Planning
The Project Co-coordinator is responsible for insuring that the Project Engineers prepare a plan for each project no matter how small.
All project plans will be prepared in either MS Project or MS Excel which ever is the most appropriate.
Regular planning meetings will be held between the installers of the project and the Project Engineer.
The Project Co-coordinator will deputize for the Project Engineer in times of absence and cover for both holidays and sickness.
Procurement & Cost Control
Where it has been agreed the Project Co-coordinator will insure that the Project Engineer owns the procurement process of either or both the material and the labour content of the project.
At all times the Project Co-coordinator is responsible for seeing that the costs of the project are within the values agreed at the commencement plus any variations subsequently approved.
Documentation
The Projects Co-coordinator via the Project Engineer is responsible for ensuring that an appropriate set of documentation is made available for the Operations Team.
The Documents will be inspected by the Project Engineer and audited by the Projects Co-coordinator to ensure that it contains all the relevant detail that allows maintenance to take place in the prescribed manner. Where modifications have taken place the Project Engineer will ensure that the record drawings held by the Engineering Support group are marked up in accordance with the relevant SOP and forwarded to the CAD unit for the drawings to be updated.
The documentation may comprise any or all of the following :
*Operation & Maintenance Manuals
*As Installed Drawings (CAD or Hard Copy)
*Spares Lists
*Test Certificates
. Commissioning Records and Method Statements
Snagging
During the final days of the project an agreed snag list will be developed between the Project Engineer and the installer. This list will detail the snag together with an agreed target date for the snag to be completed.
Once all the snags have been complete and the Operations Team and the Customers are satisfied with the project as a whole the Project Engineer is responsible for ensuring that the Project Co-coordinator signs off the project and that the project files are handed to the site operations group for their safe keeping.
Personal Experience/Qualifications/Skills:
Preferably a minimum ONC in an Engineering discipline or demonstrable experience in the operations and maintenance or projects field.
Must have a sound engineering background.
Good computer literacy and be familiar with using both word processing, spreadsheet and project.
Will have good inter-personal skills in dealing with both the Operations staff and the customers.
Must be able to work on his/her own initiative.
Must be self motivated.
Must be a decision maker
